Any fund requested for an event should be submitted by the chair of the student branch, student chapter, or student affinity group chair ONLY. The same is applied on the Jordan Chapters and Affinity Groups.

In the submitted fund request, all the student OU officers should be IEEE student members and that would be a condition to consider the fund request or discuss it.
Every year, the new ExCom of the student branches gets their rebate in addition to 1 JOD per each student member. However, this fund is delivered when the student branch determines what to do with the money.
It should be noted that the rebate is given under the condition that a student branch proves that an election was conducted for the new branch ExCom via vTools. The Student Activities Coordinator (SAC) and Section Student Representative (SSR) should be always informed about the election process and election results. The same goes for the new counselors. Any fund requested for an event should be submitted at least THREE weeks (if the fund request is equal or less than 100 JOD) and FIVE weeks (if the fund request is greater than 100 JOD) before the event starting date.
It is highly recommended to submit a fund request, greater than 100 JOD, TWO months ahead of time to avoid any risk of not getting the support on time by the IEEE Jordan Section because this request needs the approval of the section executive committee where they meet in the second week of January, March, May, July, September, and November.
All upcoming events should be posted in the IEEE Jordan Section group on Facebook (https://www.facebook.com/groups/145297368072) and vTools as well.
After the event is over, a detailed report should be submitted by email to the section Chair, Vice Chair, and Treasurer no more than a week after the end of the event. The report should include (a) a link to the event on the Jordan Section group on Facebook (https://www.facebook.com/groups/145297368072) with all photos and general details, (b) a link to the vTools where the event is reported, (c) details about the budget and how it was managed, and (d) scans of the expenses receipts.
Any leftover money should NOT be used under any circumstances and it should be returned to the IEEE Jordan Section immediately via the section money wallet and by the time the report is submitted. Failure to do so will affect future requests by the same OU chair. This will be recorded in the section database.
IEEE Jordan Section WILL NOT fund any national events that share similar themes to other national events that have been previously organized by other student branchs, student chapters, or student affinity groups during the same year.
Multiple events by multiple operational units in the same university at the same day will not be funded by the IEEE Jordan Section. Only one event can be funded.
A student branch IEEE Day should be held in October and will not be funded by the IEEE Jordan Section if it is held in another month.
A student branch is allowed to get a maximum of 150 JOD for the IEEE Day and that should be covered with a detailed proposal using the Fund Request Form provided.
IEEE Jordan Section DOES NOT fund (a) membership fees, and (b) design fees for a poster, website, and others unless the event is national.
If the IEEE Jordan Section will fund prizes, these prizes should be non-monetary.
Any money, as prizes, awarded for individuals will be directly given to them upon receiving.
Any money, as prizes, awarded for student branches, chapters, or groups will be given to them within a submitted proposal for some upcoming event(s) to the IEEE Jordan Section showing what to do with the money.
Procedure to request a fund from the IEEE Jordan Section:
Fill out the Fund Request Form provided (excel file) to show all the financial details of the event. A word file can be included (if needed) to clarify more details about the event such as overview, target audience, objectives, benefits to OU members, event time schedule, event budgets, speakers, program, … etc.
Submit the Fund Request Form (along with a word file for more details if needed) by email to the funding committee (Chair, Vice Chair, and Treasurer of the IEEE Jordan Section). Emails can be found in this link.
